St. Joseph Orphan Asylum record transcription standards.
Please enter information the same way for every card. Here are some of the things we've recognized, but we anticipate that we may run into other issues...so if you run into something not mentioned here, please let me know.
And remember...for the form to work right: When you are done entering info, hit TAB, then CONTROL-K.
Use your Enter key, not your Tab key, after typing info in a field.
The First Field [Enter extra information here]: This field is for the few cards that have something typed, stamped or written at the top of the card (where there is no field). If you enter something in this field, be sure to include in the last field of the Card Sheet (Volunteer Notes) whether the info was typed, stamped or handwritten.
Date Format: Enter all dates like "Jan 01 1900" (3 letter month, 2 digit date, 4 digit year).
Names in Caps: Enter orphan names in CAPS.
Missing Spaces: There are strings of text without spaces. Enter spaces where they are missing.
Obvious Mis-keys and mis-spellings: There are plenty. Some show penciled in corrections and others do not. Correct what is obvious. If you are unsure, enter it best you can as you see it, followed by an asterisk, and enter a note in the Volunteer Notes field. Also, for the sake of completeness, where it is obvious what was originally typed - and the original was not just a misspelling - like when a date is corrected - enter the original information in the Volunteer Notes field; for example: "Father's birth date originally typed as Jan 01 1900".
Handwritten additions: There are handwritten notes on many of the cards. For handwritten info, enter what is written, followed by "-HW" (without the quotes).
Info in fields of a type other than the field indicates: Two examples of this are for "Age" and "Baptised"; both of which call for Month-Day-Year. In some of the Age fields, we see the childs age typed in the Year field - and sometimes see the word "Yes" in the year field for Baptism. In cases like this, just enter the info as it is on the card.
Variant Name Cards: For these we'll add the variant name after the name on the "regular" card, as in "Smyth - Smith", and enter the info from it in the Volunteer's Notes field of the "regular" card.
